RPL versus training pathway

Compare the cost and time of recognising existing skills against delivering the training, for a given cohort.

For RTO managers, employers with experienced staff, learners weighing a pathway

How to use this calculator

Start with the worked example below. Replace the figures in Your numbers with your own inputs, then select Recalculate. Read the assumptions and limitations before using the estimate in your planning. Save report downloads the last calculated results and inputs.

Saving per candidate with recognition

$3,858.75

Full training cost less the recognition pathway. Negative means recognition costs more than teaching.

Recognition pathway cost per candidate
$10,721.25
Recognition attempts plus the units that still need teaching.
Full training cost per candidate
$14,580.00
Every unit delivered and assessed.
Units actually recognised
5.25
Attempted units multiplied by your success rate. The rest still need teaching.
Units still to teach
6.75
Including any recognition attempts that were unsuccessful.
Total saving across the cohort
$38,587.50
Saving per candidate across everyone in the pathway.
Hours saved per candidate
74.38 hours
Time difference between the two pathways: often the more persuasive number.

Your numbers

People being considered for this pathway.

Total units required to complete.

Units where existing evidence is expected to be sufficient. Be realistic. Partial evidence still needs gap training.

Reviewing evidence, competency conversation and recording the judgement.

Time the candidate spends assembling evidence for one unit.

Face-to-face or live online hours for one unit.

Marking and feedback per candidate for one taught unit.

Including on-costs.

Wage cost of the candidate's time. Zero if they do this in their own time.

Percentage of attempted RPL units where the evidence is judged sufficient. Unsuccessful units still cost assessor time AND then need teaching.

How this is worked out

RPL succeeded = attempted × success%. RPL failed units must then be taught. RPL cost = attempted × (assessor hours × assessor rate + candidate hours × candidate rate). Taught units = qualification units − succeeded. Training cost = taught × (delivery hours × assessor rate ÷ candidates + assessment hours × assessor rate + delivery hours × candidate rate). Full-training cost is the same with no units recognised.

What it assumes

  • Delivery cost is shared across the cohort; assessment and candidate time are per person.
  • A failed RPL attempt is not wasted evidence, but its assessor time is spent and the unit still needs delivering.
  • The candidate's time has the value you entered. For a self-funding learner that is often zero in cash but not in reality.

What it does NOT account for

  • Gap training: partial recognition usually needs some delivery, which this treats as a full taught unit or none.
  • The value of finishing sooner: earlier completion often matters more than the cost difference.
  • Fee structures. Many RTOs price RPL as a flat fee regardless of the effort it takes.
  • Whether recognition is appropriate. A cheaper pathway is not automatically the right one.

What to do next

  • Test your success-rate assumption against your own recent RPL outcomes rather than an industry impression.
  • For candidates near the boundary, price gap training explicitly instead of treating a unit as all-or-nothing.
  • Check that the candidate time cost reflects who actually bears it. The answer changes depending on whether it is an employer or the learner.
  • If RPL looks marginally cheaper, weigh the completion-time benefit before deciding; it is usually the deciding factor.
